This Privacy Policy explains how NovaCalls ("NovaCalls", "we", "us", "our") collects, uses, and protects information when you visit our website, request a demo, or use our AI receptionist service (the "Service").
1. Information we collect
We collect information in a few ways:
- Demo and contact requests: when you fill out our website form, we collect your name, business name, phone number, email address (optional), industry, and, if applicable, which sample voice you preferred.
- Call data: when the Service is active for your business, we process the audio, transcripts, and metadata (such as call time, duration, and caller number) of calls the AI receptionist answers on your behalf, so it can respond to callers, book appointments, and send you a summary.
- Website usage data: like most websites, our server may log basic technical information such as your browser type and IP address for security and performance purposes.
2. How we use information
We use the information above to: respond to your demo or contact request; provide, maintain, and improve the Service; send you the call summaries and notifications the Service is designed to deliver; troubleshoot issues; and comply with legal obligations. We do not sell your personal information.
3. Call recording disclosure
If your NovaCalls receptionist is configured to record or transcribe calls, that processing happens so the AI can answer accurately and so you receive an accurate summary. You are responsible for any caller-facing recording disclosures required in your jurisdiction; NovaCalls can help configure an automated disclosure message at the start of calls where required.
4. Third-party service providers
We share data with service providers that help us operate the Service, including telephony carriers, AI voice/speech-processing providers, calendar and scheduling integrations you connect, and our hosting and email-delivery provider, Cloudflare. These providers only process data as needed to perform their function for us and are not permitted to use it for their own purposes.
5. Cookies and analytics
Our website may use minimal, functional cookies or similar technologies required for the site to work correctly. We do not use invasive tracking or sell data to advertisers.
6. Data retention
We retain call recordings, transcripts, and demo-request information for as long as reasonably needed to provide the Service, support your account, and meet legal or accounting obligations, after which it is deleted or anonymized.
7. Data sharing and disclosure
Beyond the service providers described above, we may disclose information if required by law, to protect the rights and safety of NovaCalls or others, or in connection with a business transfer such as a merger or acquisition, in which case we will take reasonable steps to keep your information protected.
8. Your rights and choices
Depending on where you're located, you may have the right to access, correct, or request deletion of your personal information, or to object to certain processing. You can exercise these rights by contacting us at hello@novacalls.net, and we will respond within a reasonable time.
9. Data security
We use reasonable technical and organizational measures, including working with security-focused infrastructure providers, to protect the information we handle. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
10. Children's privacy
The Service is intended for business use and is not directed to children. We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time. We will post the revised policy on this page with a new "Last updated" date.
